Privacy Policy

This policy explains what personal data Scanalbum (“we,” “us”) collects, why, and how you can control it.
1. What we collect
- Account data: your name and email address, and a securely hashed password (if you don’t sign in via a third-party provider).
- Album content: the photos you upload, the original page scans they’re cropped from, and any captions, dates, comments, likes, favorites, or recorded audio stories added by you or family members you’ve given access to.
- Family member data: if you invite family members, we store their name and email so they can log in, and (for anyone who verifies via a link) their email and verification status.
- Billing data: handled by Stripe, our payment processor. We receive confirmation that a payment succeeded and which plan it’s for — we never see or store your card number.
- Usage and technical data: basic request logs, and (if enabled for this account) Google Analytics with IP addresses anonymized.
2. How we use it
- To provide the Service: process your photos, build and host your album, and let you and the family you invite view and interact with it.
- To send account and service emails: verification, password resets, invite links, one-time login codes, billing receipts, and (if you’ve opted in) a daily digest of new comments.
- To process payments and manage your plan, via Stripe.
- To maintain and improve the Service, including diagnosing errors and preventing abuse.
3. AI and third-party processing
We use the following categories of subprocessors to run the Service. Your photos and extracted text pass through them only as needed to provide the specific feature listed:
- A cloud storage provider — stores your original page scans and cropped photos.
- An AI processing provider — detects and crops photos, and reads handwritten or printed captions and dates from photographed pages.
- A database provider — stores account, album, and metadata records.
- Stripe — processes payments and manages subscriptions.
- A transactional email provider — delivers verification, invites, one-time codes, receipts, and comment digests.
- A hosting provider — runs the application.
We don’t sell your data, and we don’t use your family photos to train our own or any third party’s AI models.
4. Who can see your data
Only you and the family members you’ve explicitly added or who’ve verified access via your unique link can see your albums. Nothing is public or indexed by search engines unless you explicitly make an album public and share its link.
5. Data retention and deletion
Free-plan albums are hosted for 30 days from creation; after that, the album and its photos may be deleted unless upgraded. Paid-plan albums are retained for as long as the plan stays active. You can delete an album, or your account, at any time — deletion removes the associated photos and metadata from our storage and database. Backups and logs may persist for a short period afterward for operational and security purposes before being purged.
6. Your rights
If you’re in the EU/EEA (or covered by similar law), you have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these, contact us at support@scanalbum.com — we’ll respond within a reasonable time.
7. Cookies
We use a small number of essential cookies: a signed session cookie to keep you logged in as an owner, and a separate signed cookie for a verified family member’s access to your family hub. We don’t use third-party advertising cookies. If Google Analytics is enabled for this account, it sets its own cookies to measure aggregate, anonymized usage.
8. Children
Scanalbum is intended for adults managing family photo archives. It’s not directed at children, though a family album may naturally contain photos of children provided by an adult family member.
9. Changes to this policy
We may update this policy as the Service changes. Material changes will be reflected here with an updated date.
